New timekeeping system UKG Ready (Kronos) officially launches

Vanderbilt University will officially launch the UKG Ready (Kronos) timekeeping system on Aug. 6, 2023. 

The cross-functional team from Human Resources, VUIT and Payroll has worked to create a seamless transition to the new system. Online training is now available for biweekly employees, managers and human capital management specialists. Employees can also visit the updated payroll website with FAQs, quick guides and more.  

Timesheets due Monday, Aug. 7, for the July 23–Aug. 5 pay period should be submitted and approved in Oracle Cloud. All timesheets for pay periods beginning on or after Aug. 6 must be entered in UKG Ready. 

The payroll-related activities below are not changing: 

  • Timesheet approval deadline remains noon on Mondays prior to payday (see payroll calendar for list of dates and holiday-related exceptions) 
  • Direct deposit, address and tax form updates are still completed in Oracle 
  • Payslips and W-2s will still be generated and available in Oracle 
  • Exempt employees will continue to use Oracle for their absence submissions 

Biweekly employees and their managers are encouraged to attend an office hours session to address any questions or concerns not addressed as part of the online training. In these sessions, members of the project team will be available to provide demonstrations and guidance.
