Third-party AI add-ons for Zoom and Teams to be disabled; no change for Microsoft Teams transcription/recording and Zoom AI Companion

Third-party AI add-ons integrated with Zoom and Microsoft Teams, such as Otter.ai, Read.ai, Rev Meeting Hub and other meeting summarization apps, will be disabled across the Vanderbilt University network. Read.AI was disabled on Nov. 18. Otter.ai and others will be disabled on Dec. 1.  Built-in transcription and summarization features in Teams and Zoom will remain available.

This decision follows an in-depth security and privacy risk analysis that identified potential vulnerabilities threatening the privacy and integrity of communications in university meetings. Some areas understandably depend on AI features for enhanced productivity and convenience during virtual meetings. You can use the free transcription and summarization features built into Microsoft Teams (transcription and recording) and Zoom (Zoom AI Companion). In addition, Microsoft offers a paid service, Teams Premium, that provides meeting summarization and annotated recordings. For information about purchasing Teams Premium, please visit it.vanderbilt.edu and submit a request.

Thank you for your understanding and cooperation as we navigate these changes together while prioritizing the security and privacy of Vanderbilt University data and resources. For support or questions, visit it.vanderbilt.edu.
