Biweekly time card deadline accelerated due to July 4 holiday

Due to the Independence Day holiday on Thursday, July 4, paychecks for biweekly employees will be processed on an accelerated timeline.

In order to accommodate this accelerated schedule, time cards for all biweekly employees must be both submitted by the employee and approved by the employee’s manager(s) before 10 a.m. on Monday, July 1. Please note that the Payroll Team will be unable to process any time cards received after this cutoff deadline of 10 a.m. on Monday, July 1, for payment on Friday, July 5.

Submit biweekly time cards in advance of the weekend

Biweekly employees are strongly encouraged to submit their time cards, and their managers approve those time cards, as soon as work is completed on the evening of Friday, June 28, unless the employee will be working on Saturday, June 29.

If you will be working during the weekend, please ensure your time card is submitted and approved by your manager before 10 a.m. on Monday, July 1.

Manager approvals and delegates

Managers of biweekly employees should work with their team members to ensure timely submission and approval of time cards.

If a manager will be out of the office, their line manager can approve time cards on their behalf by following the steps in the guide titled “Taking Action on Behalf of a Direct Report,” or alternatively the line manager may delegate their approvals by setting a delegate in their BPM worklist preferences.

Impact of July 5 administrative closure day on biweekly paycheck availability

Vanderbilt’s Human Resources office will be closed on Friday, July 5, due to the administrative closure day. Please note that, with regard to biweekly paycheck availability:

  • Employees and student workers who are enrolled in direct deposit will be unaffected and will receive direct deposits on Friday, July 5; and
  • Employees and student workers who are not enrolled in direct deposit will not be able to pick up their paychecks until Monday, July 8, at 8 a.m.

Employees who are not enrolled in direct deposit are encouraged to do so by Friday, June 28, with the Vanderbilt Human Resources office, located in the Baker Building at 110 21st Ave. S., Suite 1000, between 8 a.m. and 5 p.m. Monday through Friday. Enrollment instructions and forms are available on the HR website.
